Executive Officer to the Chief Executive Officer (977195)

The Role

Permanent, working up to 76 hours per fortnight

The Executive Officer to the Chief Executive Officer will provide comprehensive, high level executive coordination, operational and administrative support to ensure efficient running of the Office of the CEO.

Manage the flow of information and correspondence for the Office of the CEO including confidential correspondence, reports including working with the Senior Executive Officer in relation to the business activities of the unit.

Key responsibilities of the role will include:

  • High level reception and screening of visitors as the first point of contact for the CEO, prioritising matters and managing communications by coordinating flow of information, ensuring timely responses, following up required responses, and initiating and preparing high level correspondence.

  • Assist the Board and the Executive with the compilation of material for organisational and other events for the Minister as required, and undertake research to provide appropriate background information for speech preparation and media releases.

  • Undertake financial management tasks including credit card reconciliation, coding of invoices, and associated budget reporting.

An existing TasTAFE employee employed under a copied state instrument, or an employee who has been employed at TasTAFE in the past three months, if successful, would be appointed at the relevant classification and salary in the copied state instrument.

About  You

These are the capabilities required to undertake the role successfully:

  • Extensive experience in providing high level executive, administrative and operational support at an Executive level.

  • Demonstrated experience in professional discretion and keen attention to detail.

  • Exceptional verbal and written communication skills, including high-level experience in the preparation of high-quality executive documents and delivering high-level client service to internal and external stakeholders, including liaison with the TasTAFE Board.

  • Excellent time management skills, with the ability to work autonomously, multitask and prioritise duties to meet agreed deadlines, in particular the diary commitments of the CEO.

  • Demonstrated success in teamwork and collaboration with others at all levels within an organisation.

  • An understanding of the Right to Information Act 2009 and the Personal Information Protection Act 2004 or the acquire including the ability to interpret legislation and policy.
