The Role

Permanent, working up to 76 hours per fortnight

This is position that may require some intrastate travel and can be located at either Hobart or Alanvale Campus.  

The Executive Assistant will provide comprehensive, high level executive coordination, operational and administrative support to members of the Executive Director team to ensure the efficient running of the Office of the Chief Executive Officer (CEO).

General direction is provided by the Manager, Corporate Affairs and Governance with the occupant expected to work autonomously to manage priorities to meet timeframes and agreed deadlines.

Key Responsibilities

  • Provide comprehensive and high level administrative and executive support to the Executive Director team. This includes but is not limited to diary coordination, event organising, travel arrangements, administrative and organisational support, and telephone screening.

  • Provide secretariat support to committees including coordination of meetings, development of agendas and briefing documents, recording of minutes and coordination of resulting actions.

  • Be the first point of contact for matters related to the Executive Director/s and manage communications by coordinating the flow of information, initiating and preparing high level correspondence and ensuring timely responses and follow up, as required.

  • Undertake financial management tasks including credit card reconciliation, coding of invoices, and associated budget reporting.

  • Maintain relevant databases and file management systems. Research and collate material, documentation and reports relevant to issues under consideration by the Executive Director/s.

  • Working as a member of the Office of the CEO team, provide support which actively contributes to developing, maintaining and enhancing TasTAFE’s strong working relationships when liaising with internal stakeholders, State and Federal Government agencies, other institutes and organisations.
  • An existing TasTAFE employee employed under a copied state instrument, or an employee who has been employed at TasTAFE in the past three months, if successful, would be appointed at the relevant classification and salary in the copied state instrument.

    About  You

    Capabilities required to undertake the role successfully include:

  • Demonstrated experience in providing contemporary, high-level executive, administrative and operational support at an Executive level.

  • Demonstrated computer and technology skills, including competency in the use of word processing, spreadsheets, database packages and financial systems.

  • Well-developed interpersonal, verbal, and written communication skills, including experience in the preparation of high-quality executive documents and the delivery of a professional client service.
